This solution is only applicable to users of Google Apps for Work where a subscription is paid. It is not applicable to the free version or to individual GMail accounts. The following instructions will guide you through setting up Google Apps Sync for Microsoft Outlook so that you can continue to use Microsoft Outlook even though you have migrated your email to Google Apps for Work.
- Make sure that all of the security updates for Microsoft Office have been applied
- Go to the Google Apps Sync for Microsoft Outlook page
- Click on the big blue [Download Google Apps Sync] button to download the stub installer
- Allow the installer to run. It does not look like your typical installer
- When finished, it'll ask you to authorise its use by opening your email in an internet browser
- Log into your email using your usual username and password
- Scroll to the bottom of the list and click the big blue [Allow] button
- On returning to the Sync Tool, you don't need to migrate any data but it's helpful if you send crash reports and, if you click on [Advanced], you should see that AutoArchive is also turned off
- Click on [Create profile] and the synchronisation should start.
- You can click on [Start Microsoft Outlook®] to do exactly that, but you're not quite finished
- As Microsoft Outlook starts, you'll need to choose a profile. The correct one should be already chosen, and you can check the box to make this the default profile, thereby preventing this box from reappearing each time you start Outlook.
- Other profiles can be removed via Control Panel > Mail if you wish. You can similarly choose the default profile, and whether or not you're prompted using this method.
- Once Outlook has started, the sync tool should start downloading your messages, contacts, etc from Google
- You can uncheck the option bottom-left; you really don't need it. You can also close the sync tool as it'll continue to run in the background.
- Down in the System Tray, you should see a green swirly icon, which is the Sync Tool
- Right-click on the icon and choose Set mailbox size limit
- Depending on what you use this for, choose the appropriate size mailbox limit*
- That's it, you're done.
* Mailbox size limit is actually a misnomer as it is referring to the local PST file, not the remote mailbox. If you choose a smaller size, the initial synchronisation will be quicker. However, it'll only ever synchronise the chosen amount of data, so older messages will need to be accessed via GMail; they will be dropped from the Outlook view of the mailbox once the mailbox limit has been reached. If you choose Unlimited, the initial sync will take quite a while but it'll then be the same size as the online mailbox, containing everything.
